April 2023 Updates

Annual General Meeting and Elections

Next we have our Annual General Meeting (AGM) on April 15th, 2023 from 2:30pm-5:30pm in the South Sitting Room (Burwash Hall) in Hart House. During this meeting we will review the constitution and make any changes we, as a club, think would be valuable. The constitution is attached to this email, feel free to look over it before the meeting and submit any changes you would like to be made to this form. The deadline for submissions is April 12th (Wednesday).

Just a reminder that you must be a qualifying voting member (students at the University of Toronto who have paid their UTNC membership fee) to be able to vote during this meeting. More information about voting members is available in the constitution.

During this meeting, we will also be conducting our elections for the 2023-2024 school year. There are 5 positions to nominate for as of right now. A 6th position has been proposed to be added to the constitution which is why it has been added to the form for nominations. In the event that the position is approved to be added to the executive team, voting will proceed. The nomination form can be found here. The deadline for nominations is April 8th (Saturday). If you have been nominated for a position/positions on the exec team, you will receive a message asking which position you would like to run for. You are able to run for multiple positions if you wish. You will be asked to present a 1 minute speech per position before voting.

A quick summary of all the responsibilities of each position are listed here:

President: Primary representative of the University of Toronto Naginata Club. Must have one year of executive experience (any role) to hold this position.

Vice-president: Responsible for aiding the President in their duties. Keeps meetings records and ensures that exec members are performing their duties and completing assigned tasks to agreed-upon deadlines.

Treasurer: Responsible for securing UTSU club funding and planning the appropriate allocation of the funding.

Social Convener: Presents ideas for social events that are suitable for all members. Plans, prepares and coordinates the various social, fund-raising and promotional events of the club.

Equipment Manager: Responsible for making equipment and uniform orders for the club, and calling for Naginata maintenance as needed.

** Webmaster: Responsible for updating the Facebook page, website, and instagram about practice times, locations, and special events. Works with the social convener in uploading and posting photos to the google drive and posting them on instagram, facebook page, and website.

For more details, please look at the constitution attached to this email.

**since Webmaster is a potential new role, it is not listed in the constitution.

After the AGM and elections, we will go out to dinner (location TBD), please indicate on the form whether you plan to attend or not! UTNC Tournament and Grading

As the semester comes to an end, we will be having another end of semester tournament on April 8th (Saturday). This is an opportunity to assess where you are in your learning and how you have progressed. The tournament will consist of engi forms 1 and 2 and teams will be randomized. We will be starting right at 10am (or as soon as possible) so please come on time to maximize the time we have for the tournament.

The following week, we will be holding a kyu grading on April 15th (Saturday). Additional information about the grading as well as the tournament can be found in the document attached to this email. If you plan to grade, please fill out the attached grading application sheet and send it back to uoftnaginata@gmail.com and this google form once you have sent in your payment or how you plan to send your payment. All e-transfer payments should be sent to uoftnaginata@gmail.com. You must be a CNF member to grade so if you are not, please fill out the attached CNF New Membership Form. If you have not paid your UTNC membership fee, please do so as well. The deadline for registration is April 12th (Wednesday). If you plan to send the forms that require a signature electronically (through email), please send it before the deadline.

Cake Day 2017

Hi everyone!

We’ll be having our first official social event next weekend! It’s called Cake Day, and it involves basically what it sounds like – we (the club) bring some cakes and we all get to hang out for a bit! Cake Day will be on Saturday, October 7th from noon to 4 pm. This is a drop-in event, so feel free to stop by whenever you can. It’s a really casual event – we usually just hang out, play some board games, and get to know each other a little better.
Location is the Junior Common Room at University College.

Looking forward to seeing you all there!
